RAMS on the phone

RAMS in their own language,
signed on any phone.

Unibuild is a RAMS app for UK trades and specialist contractors. Operatives read and sign in your own staff app. Agency, temporary and subcontract workers sign by link, with nothing to install.

Solved

Agency and temporary workers who never signed the RAMS

What goes wrong

The agency sends two labourers for the week. They have no staff record, no login and no interest in installing an app for five days on one job. The RAMS briefing happens, and the signature never does.

If anything happens that week, there is no record they were ever shown the method they were working to.

How Unibuild solves it

In Unibuild, every RAMS has its own signing link. It opens in a browser on a phone or a computer, so the worker reads the RAMS and signs it with nothing to install.

Their signature joins the same record as your own operatives’, against the same version, the moment they sign.

  • One link for each RAMS
  • Any phone or computer
  • Same version, same record

Solved

No proof that a RAMS was sent to the worker

What goes wrong

A subcontractor’s operative says nobody sent them the revised method. The supervisor says it went out. Neither can show it, because it was mentioned at the gate and forwarded from somebody’s phone.

When the question comes after an incident, “we told them” is an answer nobody can check.

How Unibuild solves it

In Unibuild, one button emails the reading-and-signing link straight to the worker. The email stands as proof the RAMS was sent, with the date it went.

When the worker signs, the signature joins the record. Who has not yet signed shows at a glance.

  • Sent with one click
  • The email is the proof of issue
  • Signed copy lands on the record

Solved

An auditor asking who signed which version of the RAMS

What goes wrong

An auditor or a principal contractor does not ask whether a RAMS exists. They ask who accepted it, which version, and when.

The answer usually lives in three places: the PDF, a scanned sign-off sheet and somebody’s inbox. Matching them takes an afternoon, and the gaps show.

How Unibuild solves it

In Unibuild, every signature is stored with its date, time and device details. The RAMS PDF prints them all on its final page.

That is the page auditors ask for, and it sits at the back of the document they are already holding.

  • Date, time and device on every signature
  • Printed as the final page
  • Audit ready the day it is signed

Solved

A RAMS edited after the crew had signed it

What goes wrong

The method changes on Wednesday and somebody updates the file. The signatures collected on Monday now sit under a document the crew never read.

After an incident, that is the first thing anyone checks: whether the signature belongs to the version in use.

How Unibuild solves it

In Unibuild, every RAMS carries an edit log and version control. When a RAMS is edited, everybody signs it again.

Every earlier version stays readable with its own signatures, so the record always shows who accepted which document.

  • Every edit logged
  • Signed again after a change
  • Old versions kept, signatures intact

Solved

A RAMS signed by people who could not read it

What goes wrong

Sites and service teams across the UK run on many languages. A RAMS written and signed in English can be signed by somebody who followed little of it.

Regulation 10 of the Management of Health and Safety at Work Regulations 1999 asks for comprehensible and relevant information on the risks and the preventive measures.

How Unibuild solves it

In Unibuild, each person reads the RAMS on the phone in their preferred language, then signs.

The signature is recorded against the same version as everybody else’s, so there is one RAMS and one register for the job.

  • Their language, your RAMS
  • Chosen by the reader
  • One version, one register

Solved

A RAMS that is hard to read on a phone

What goes wrong

A RAMS laid out for an A4 printer does not suit a phone held at the gate. Some people find long documents hard going in any format.

If the document is a struggle to read, the signature at the bottom tells you less than it should.

How Unibuild solves it

The app has readability tools for the RAMS, and accessibility tools for the people who need them.

The RAMS stays the same document. Each person reads it in the way that works for them.

  • Readability tools for the RAMS
  • Accessibility tools in the app
  • The same RAMS for everyone

Solved

A RAMS signed without reading the controls

What goes wrong

A signature proves somebody reached the end of the document. It does not prove they took in the three controls that keep them safe on this task.

The supervisor checks understanding at the briefing, and needs to know which controls each person has actually read.

How Unibuild solves it

Unibuild puts a short crew summary and the key controls in front of the operative before the signature box. They confirm the controls that matter for the task, then sign.

The record shows which controls each person acknowledged, which gives the supervisor something real to brief from.

  • Key controls first
  • Confirmed person by person
  • Acknowledgement kept on the record

Solved

RAMS sign-off sheets lost between site and office

What goes wrong

The sheet lives on a clipboard in the cabin. It gets wet, gets photographed at an angle, or travels back in a van and is never seen again.

A RAMS with no surviving sign-off sheet is a briefing nobody can prove took place.

How Unibuild solves it

In Unibuild, the signature is taken on the phone and lands on the record the moment it is made. The QR clock-in knows who has arrived and their trade, and puts the right RAMS in front of them first.

  • Arrive at seven, sign at seven
  • Pulled up by trade at clock-in
  • Nothing to carry back

Solved

Signing a RAMS where there is no phone signal

What goes wrong

Basements, plant rooms, rural compounds and new-build cores often have no coverage. A system that needs signal to work stops at exactly the places the RAMS matters most.

How Unibuild solves it

The Unibuild field app works on sites without coverage. What is recorded there syncs with the office the moment the phone is back in signal, with nothing typed in twice.

  • Works with no signal
  • Syncs automatically
  • Nothing entered twice

See a RAMS signed on the phone and by link in a 30-minute demo.

Solved

RAMS records gone by the time anybody asks

What goes wrong

Questions about a job rarely arrive while it is running. A claim, a dispute or an investigation can land years later, long after the cabin was cleared and the shared drive reorganised.

How Unibuild solves it

Unibuild keeps every RAMS, every version, every signature and every log for seven years, so the answer is there whenever the question arrives.

  • Seven years of records
  • Every version and signature
  • Found by job, not by box file

Solved

Subcontractor operatives signing a sheet you never see

What goes wrong

Where most of the labour belongs to somebody else, each firm keeps its own sign-off sheet in its own cabin. Nobody holds the full picture of who accepted the RAMS for the job.

Regulation 12 of the Management of Health and Safety at Work Regulations 1999 expects the host to give people from other firms comprehensible information on the risks.

How Unibuild solves it

In Unibuild, a subcontractor’s operatives, agency labour and temporary workers sign the same RAMS as your own people, each under their own company’s name, in the app or by link.

It costs nothing extra, because the fee is per firm and never per person.

  • One record for the job
  • Each person under their own firm
  • No charge per signatory

See a RAMS signed on the phone and by link in a 30-minute demo.

In plain terms

A RAMS app puts the risk assessment and method statement on the phone of the person doing the work, and records their signature against the version they read. It takes the place of the clipboard sheet, the scanned register and the forwarded email.

In Unibuild, a RAMS is built from your templates, released to the job and read in each person’s own language. Every signature is stored with its date, time and device details and printed as the final page of the RAMS PDF. Records are kept for seven years.

Who signs, and how

Three ways to sign.
One record for the job.

Your own operatives, a subcontractor’s gang and the agency labour who started this morning sign the same RAMS, against the same version.

Staff app

In your own app

Operatives sign in your firm’s own staff app. The QR clock-in knows who has arrived and their trade, and puts today’s RAMS in front of them before the work starts.

  • Works with no signal
Signing link

By link, nothing to install

Agency, temporary and subcontract workers who would rather not install the app sign through a unique link for that RAMS. It opens in a browser on a phone or a computer.

  • One link for each RAMS
  • Any phone, tablet or computer
  • Same version, same register
Email link

Emailed in one click

One button emails the reading-and-signing link to the worker. The email stands as proof the RAMS was sent, and the signature joins the record the moment they sign.

  • Sent from the RAMS itself
  • The email is the proof of issue
  • Who has not signed, at a glance
The signature page

Digital RAMS sign-off,

Every signature is stored with its date, time and device details. The RAMS PDF prints them all on its final page, which is the page auditors ask for.

An auditor, a principal contractor or an inspector rarely asks whether a RAMS exists. They ask who accepted it, which version, and when. The answer sits at the back of the document they are already holding.

An edited RAMS has to be signed again, so the signatures on that page always belong to the version in front of the reader.

The record behind it

Edited, signed again,
kept for seven years.

Electronic RAMS signatures are only as good as the record around them. This is the record.

Every edit logged

Each RAMS carries an edit log showing who changed what, and when. Version control keeps every release apart, so a change creates a new version rather than rewriting the old one.

Signed again after a change

When a RAMS is edited, everybody signs it again. The register shows who has signed the new version and who has not. Every earlier version stays readable with its own signatures.

Kept for seven years

Every RAMS, version, signature and log is kept for seven years. That is longer than the three years RIDDOR regulation 12 sets for incident records, and the six-year limitation period for most contract claims in England and Wales.

Checked before it goes out

Before a RAMS is released, the AI RAMS review flags vague controls and gaps for your competent person to resolve. The version your people sign is the one that was approved.

Where the duty sits

What the law asks for,
and what the record shows.

The duty to inform, instruct and induct sits with the employer and the contractor. The app is how the evidence is collected.

Information people can understand

Regulation 10 of the Management of Health and Safety at Work Regulations 1999 asks employers for comprehensible and relevant information on risks and preventive measures. Regulation 12 extends that to people from other firms, and regulation 15 adds what agency and fixed-term workers must be told about the skills and qualifications the work needs.

Induction and information on site

Under CDM 2015 regulation 13(4), the principal contractor ensures a suitable site induction. Regulation 15(8) and (9) require each contractor to give its workers instructions and information, including what the risk assessments found.

A signature on a phone is a signature

Section 7 of the Electronic Communications Act 2000 makes an electronic signature admissible in evidence. The Law Commission confirmed in 2019 that, in England and Wales, an electronic signature can validly sign a document where the signer intends to authenticate it.

Your rules, built in

Unibuild is bespoke business software for UK trades and specialist contractors: a platform in daily production since 2016, shaped to the way each firm already works. If an unsigned RAMS should stop an allocation in your business, that rule is built for you.

Questions

Asked at the gate,
and by the auditor.

Can workers sign RAMS on their phone?
Yes. Operatives sign in your firm’s own staff app, at the start of the shift. The QR clock-in knows who has arrived and their trade, and puts the RAMS for that job in front of them before the work starts. Anybody without the app signs through the unique link for that RAMS, on any phone, tablet or computer.
Can agency, temporary and subcontract workers sign without the app?
Yes, at no extra cost, because the fee is per firm rather than per person. Every RAMS has its own signing link, which opens in a browser with nothing to install. Each person signs under their own company’s name, against the same record as everybody else. Subcontract firms’ own certificates and insurances live on the subcontractor portal.
How do you prove a RAMS was sent to a worker?
With the one-click email button. It sends the reading-and-signing link straight to the worker, and that email stands as proof the RAMS was sent. When they sign, the signature is added to the record.
What does the signature page show an auditor?
Every signature on that version of the RAMS, with the person’s name and company and the date, time and device details of each signature. It is printed as the final page of the PDF, which is the page auditors ask for.
Is an electronic signature on a RAMS valid?
Yes. Section 7 of the Electronic Communications Act 2000 makes an electronic signature admissible in evidence. The Law Commission confirmed in 2019 that, in England and Wales, an electronic signature can validly sign a document where the signer intends to authenticate it.
Do workers have to sign a RAMS again after it changes?
Yes. An edited RAMS has to be signed again by everybody working to it. The edit log records the change, version control keeps the earlier version readable with its own signatures, and the register shows who has not yet signed the new one.
How long are RAMS records kept?
Unibuild keeps every RAMS, version, signature and log for seven years. That runs past both the RIDDOR record period and the usual limitation periods, so the answer is still there when a question arrives late.
Are RAMS checked before workers sign them?
Yes. The AI RAMS review flags vague controls and gaps before release, and the RAMS is approved or returned with comments in Unibuild. Your competent person signs it off, so the version your people sign is the one that was approved.
Can an unsigned RAMS stop somebody starting work?
Yes, if that is your rule. The register shows who has and has not signed each version. If an unsigned RAMS should stop an allocation in your business, that rule is built into your system.
Can operatives read the RAMS in their own language?
Yes. Each person reads the RAMS on the phone in their preferred language and signs the same version as everybody else, so the job keeps one RAMS and one register. The app also has readability tools for the RAMS, and accessibility tools for the people who need them.
Does the RAMS app work offline?
Yes. The field app works on sites without coverage, and what is recorded there syncs with the office the moment the phone is back in signal. Tell us which of your sites have no coverage and setup is planned around them.
Is the app published under our company name?
Yes. Your staff app is published on the App Store and Google Play under your company’s own name and icon. Your operatives download your app, not ours. There is more on the branded app page.
Can we use our own RAMS templates?
Yes. Your own templates are imported free during onboarding, and there are around forty starter RAMS by trade as well. Site and job details fill in from the project. The RAMS module covers writing and approval, and there is a free editable RAMS template to download.
How much does the RAMS app cost?
It is part of Unibuild’s one monthly figure, with unlimited users and no charge per signatory. The figure is sized to your firm when it is quoted, then fixed for three years. Everyday AI is in the monthly fee. Heavier AI work is paid as used, at the AI provider’s own rate, with nothing added. How the figure is set and how AI is charged.
