  1. 30% less admin time

The time that used to go on payroll, planning, invoicing and compliance tracking, once the record is made where the work happens.

  2. 90% less time chasing timesheets

The time saved on ringing round site managers, reading handwritten sheets, and typing them up before payroll can run.

  3. 20 to 25% lower labour cost

Hours come off a clock-in rather than a memory on a Friday, so the firm pays for time measured rather than estimated.

  4. 20% faster project delivery

Site and office work from the same information, so a job is less often waiting on somebody to be told something.

  5. 90% of operations on one platform

How much of a firm's operational data ends up on one secure set of records rather than spread across separate systems.

  6. 95% faster to prove who was on site

Cut the time it takes to answer a client's attendance query from a folder and two phone calls down to a search.

  7. Two thirds of hours scanned at the gate

Measured at SME Building Services: about two thirds of all hours now arrive from a code scanned at the gate, not a sheet written up later.

  8. 100% of your people on one flat fee

Users are unlimited on every plan. Site teams, subcontractors, the office and clients all get a login, and the fee does not move.

In plain terms

The business value of software for trades comes from one change. Work is recorded once, where it happens, and everybody who needs it reads the same record. Hours stop being copied between systems, costs reach the job while it can still be steered, and the evidence exists before a dispute rather than after it. The business also becomes easier to run, because fewer things depend on one person remembering them.

Unibuild is bespoke business software for UK trades and specialist contractors: a platform in daily production since 2016, shaped to the way each firm already works. Construction is one of more than thirty trades it serves, alongside electrical, heating and plumbing, facilities maintenance, fire and security, plant hire and builders merchants. The same applies to any business whose people work on site or in the field. One flat monthly fee covers every module and unlimited users, and most firms are live in about two weeks. How bespoke works.

Hours that stop going on paperwork.

Much of an office week goes on information that already exists, typed again. These six changes give that time back to the work that earns.

Hours recorded
at the gate

Site

Operatives scan the poster at the site gate and the clock-in time lands on the job, with or without a signal. A week written up on Friday is an estimate. A scan at the gate is a measurement.

  • About three seconds a scan
  • Kept on the phone until signal returns
  • Costed to the job from the poster
  • Approved before payroll sees it

Payroll

The approved week exports for payroll, including Sage and BrightPay, and Unibuild syncs with QuickBooks, Xero and Sage 50. Hours and costs reach payroll and the accounts without being typed a second time.

A clear view

The position of the business, without ringing round for it.

One record, site and office
The figure entered on site is the figure the office invoices against and the director reports on. There is one version of each job, so nobody spends Monday reconciling two.
Open at the desk, in the van or on site
The office portal runs in a browser and the staff app on iPhone and Android, both on the same records. An update or a decision is made where the person is, not when they get back to a desk.
Progress you can look up
Diaries, photographs, outstanding items and a live map of who is on which site are on the record before the status call. The call, when it happens, is about the problem rather than the update.
Reports read from the records
Reports and dashboards draw on the records the firm already keeps. A management update is opened, not assembled from spreadsheets the evening before.
Each person sees their part
Access is set per person. An operative can see their own week without ever seeing a price. The office sees rates, personnel records stay with the people you choose, and directors see the margin on every job.
Who did what, and when
Every approval, revision and correction keeps a name and a time. A correction made by the office is flagged and the original kept, so a decision questioned later has its answer on file.
Knowledge that stays with the firm
Job history lives on the job, not in one inbox or one memory. Holidays, absence and leavers no longer take the history with them, and a colleague picks up a live job from the record.
Time away from the business
Records, approvals and reminders sit in the system rather than in the owner's head. When a director is away for a few days, colleagues find the records, see what is waiting for approval and carry on.

Margin and cash

Money that reaches the job, and then the invoice.

Margin is seldom lost in one place. It goes in small amounts: a day of extra work nobody signed for, an order with no job against it, a loss found at the final account.

The margin on every job, while it can still change

The job profitability report shows the live margin on every job, by project manager and by department. A breakdown on each job shows why it is losing money, while there is still time to act. What the last job cost, from job costing, is on record when the next one is priced.

Every enquiry quoted, chased and closed out

Every enquiry is logged and priced in quotations that keep every revision and go out on your letterhead. Each one sits as outstanding, won or lost with a reason, so none waits in an inbox to be chased.

Extra work signed for on the day

Day works and variations are recorded on site with times, trades and photographs, and the client's representative signs on the phone. The office prices the sheet and claims it in the next valuation.

Every order raised before the invoice arrives

A purchase request goes to a named approver, and only then is an order number issued. When the invoice turns up weeks later, it already knows its order and its job.

Every estimator prices from the same book

A shared library of material and labour rates in Advanced Estimating lets any estimator price any job the same way. When prices rise, the uplift is one figure rather than a rebuild of everybody's workbook.

Applications built from the measure

The week's work is measured on site, priced from the job's own contract rates and signed by the client on the screen. The application for payment is built from it, with retention held against the job and CIS run to HMRC tax months. Money owed is listed by the manager responsible, so every overdue application has an owner.

Everybody working from the current drawing

Drawings, instructions, photographs and sign-offs are held on the job, with one current revision opened from the job on every phone. Teams build to what was agreed, and what was agreed is on file if it is questioned.

Clients who look it up themselves

Through the client portal, clients approve quotes and see progress photographs, the project planner and their certificates. Every answer they find there is a call the office did not take.

Working out the return

How to put a figure on it for your own firm.

The return comes from your own week. Each step is a sum you can check yourself.

Time the week as it is

Pick the jobs that eat the week: chasing timesheets, keying hours, finding certificates, building the valuation. Time them for one ordinary week, before anything changes.

Price an hour at what it costs

An hour costs the wage plus employer National Insurance and pension. The savings calculator does this sum at the current statutory rates, and every assumption in it is yours to change.

Find the break-even hours

Divide the monthly fee by what an hour of your people's time costs. The answer is the hours a month the system must give back to cover its fee. The measures on this page show where those hours come from.

Keep cash and capacity apart

Cash is money that stops leaving: a subscription cancelled, plant off-hired on time, overtime not worked. Capacity is salaried hours freed for work that earns, counted as capacity rather than as a smaller wage bill. Count both, separately, and count each saving once.

Count margin, not turnover

A variation billed that would have been missed adds its margin, not its full value. A losing job caught in its third week counts as the loss avoided. Earlier payment improves cash flow, and is counted there.

Set it against one figure

Your fee is one monthly figure, quoted in writing and fixed for three years. Add the hours your own people spend in training, once. The net value is the verified gain less the fee, and the return is that net value divided by the fee.

Because the fee never moves with headcount, the comparison you make on the first day still holds in the third year.

Test it in the trial

The 14-day trial runs the full platform, with every module switched on and no card. Choose the three jobs that cost you most, run them in the trial, and time them again.

Questions

Asked before the
numbers are run.

What are the benefits of bespoke software for a trade business?
The main benefit is that work is recorded once, where it happens, and read by everybody who needs it. Whatever the trade, that means fewer office hours spent chasing and re-keying, and costs that reach the job while it is running. It also means evidence on file before anybody asks. The commercial gains follow: extra work signed for on the day, orders matched to jobs, and losing jobs found while they can still be put right.
What business value does Unibuild give a trade business?
Unibuild puts a trade business on one set of records, from the clock-in on site to the invoice or the application for payment. Electrical, heating, facilities, plant hire and construction firms all use it the same way. The value shows up in five places: time back, a clear view of every job, obligations kept current, protected margin, and a system built to the firm. Each is measured on the firm's own records, before and after go-live.
Is bespoke software worth it for a small trade firm?
Yes, wherever hours go each week on chasing timesheets, re-keying hours and finding certificates. Unibuild is one flat monthly fee with unlimited users, so a small firm puts every engineer and operative on it from the first day. The fee is sized to the firm when it is quoted, so a six-person firm never pays for a fifty-person one.
How do I work out the return on software for my business?
Time the jobs the system would take over for one ordinary week, then price those hours at full employer cost, with National Insurance and pension included. Add the cash that stops leaving and the margin recovered, counting each saving once. Set the total against the quoted monthly fee. The savings calculator does the hourly sums at the current statutory rates.
How soon does the value start?
With the first part that goes live. Most firms are live in about two weeks, in phases, starting with the area that costs them most. Those hours come out of the week first, while the rest is switched on behind them.
Does the fee go up as we take on more people?
No. Users are unlimited on every plan and nothing is charged per seat. The fee is sized to your firm once, when it is quoted, and then fixed for three years. Winning a job and putting twelve more people on site changes nothing on the invoice.
What does the monthly fee include?
Everything. Every module, unlimited users, your branded staff app and its store publishing, the subcontractor and client portals, configuration, training, data migration, support and changes after go-live. There is no setup fee, no add-on and no premium tier. The figure on the quote is the figure on the invoice. How the fee is sized.
Will our site teams actually use it?
Yes. The app carries your company's name, clocking in is a scan of the poster at the gate, and it works on sites with no signal. RAMS and toolbox talks are read on the phone in the operative's own language. At SME Building Services, about two thirds of all hours now arrive from a code scanned at the gate.
We only need two or three parts of it. Is it still worth it?
Yes. Most firms start with the two or three areas that cost them most and switch on more later. Every module is inside the same fee, so adding one is a step in setup rather than a new purchase. The purchase order module went into a live deployment in February 2026 and carried 879 orders within five months.
Does Unibuild replace our accounts package?
No. Your accounts package stays, and Unibuild runs the job up to it, through to the application for payment. Unibuild syncs with QuickBooks, Xero and Sage 50, and other systems are connected on request. Payroll takes the approved week as an export in CSV, XML or JSON.
What happens to our data if we leave?
It comes with you. There is no minimum term and no exit fee, and everything can be exported at any time. On leaving, a clean dataset is handed back within five working days. While you are a customer, your data is held in London and does not leave the UK.
Can we see the value before we commit?
Yes. Book a 30-minute demo and bring the three parts of your week that cost the most, and they are shown on a live system with real records. The 14-day trial then runs the full platform with every module switched on and no card required.
