What the law actually says
Regulation 4(2) of the Electricity at Work Regulations 1989 requires that all systems shall be maintained, so far as is reasonably practicable, so as to prevent danger. It says nothing about portable appliance testing, nothing about intervals and nothing about labels. It sets an outcome, not a method.
Where the frequency comes from
The IET Code of Practice for In-service Inspection and Testing of Electrical Equipment is guidance, not law. It provides a risk based framework for deciding inspection and testing frequency by equipment type, environment and use. HSE guidance is explicit that the level of inspection and testing should be proportionate to risk, and that in low risk environments formal testing may rarely be needed at all.
What that means for the software
Unibuild does not impose an interval. The next test date is a field you set per record, so a 110V breaker living in the back of a van and a desk lamp in a locked office carry different intervals in the same register, and each reflects a risk assessment you can defend. A system that hard codes twelve months is a system built by somebody who has not read the Code.
What is captured on the record
Not just a verdict. Appliance class, fuse rating, visual inspection, earth continuity in ohms, insulation resistance in megohms, leakage in milliamps, polarity, and the overall pass or fail with comments and attached evidence. A pass with a reading behind it is evidence. A pass with no reading is an assertion.

So here is exactly what each register is and is not, in the terms your assessor would use.

Fire door records
Built to evidence fire risk assessment remedial work, not to run Fire Safety (England) Regulations 2022 regulation 10 periodic checks. The document is titled Record of Maintenance or Repair and opens with the language of work completed. There is no check frequency, no due date, no building height and no communal versus flat entrance distinction. For a fire door remedial contractor it fits precisely. For a landlord needing quarterly and annual checks, the register and the labelling are the right foundation and the periodic check itself would be built.
Fire door check items
Gaps and clearances, intumescent and smoke seals, hinges, self closers, glazing, signage, leaf and frame condition, ironmongery and drop down seals all appear consistently in the live data, because your operatives write them into the description of work. None of them is a structured tick box with a pass or fail today. Turning that consistent vocabulary into a structured checklist is a short job precisely because the vocabulary is already consistent.
PAT and the instrument that tested it
A PAT record holds the readings, the result and who entered it. It does not name the test instrument. So if an instrument were found to have been out of calibration, the platform as it stands could not tell you which of your records rest on it. Neither can a spreadsheet, which is the fair comparison, but the platform is one field away from being able to. The calibration register already holds instruments with serial numbers and expiry dates, so adding a validated instrument selector to the test record closes the chain. This is the first thing we would scope with you.
Calibration
An out of calibration instrument is flagged, never blocked. It turns red on the register, appears on the reminders dashboard with a count, and can be emailed to the person holding it. Nothing in the platform prevents its use, because nothing currently knows which job an instrument was taken to. Blocking is only meaningful once an instrument can be selected on a piece of work, so the sequence is: link first, then gate.
Emergency lighting
The checklist records the date of testing, the operative, the devices checked, the type of test, whether all fittings worked and the load test result, signed by two parties and issued as a PDF. It records one test event rather than a fitting by fitting schedule, the test type is free text rather than a controlled monthly or annual selection, and there is no reminder for the next test due. It is a usable test record. It is not a complete BS 5266 log book.
Water hygiene
The chlorination certificate, the water testing register and the filter change register are live in the site services deployment and empty in the construction one. We would demonstrate them in the deployment where they carry records rather than showing you empty screens and calling it a feature.
RIDDOR
Unibuild records and evidences incidents, including through a public form reached by scanning the code on a site poster so somebody with no account can report a hazard. It does not submit anything to the HSE. Deciding reportability and making the report remain the responsible person's duty, and we will never blur that line.

No BS 7671 scheme certificates
No EIC, no EICR, no Minor Works Certificate. Unibuild handles everything around the certificate and most firms produce scheme certificates in their scheme's own software. In house certification is available as tailored development and it is significant work rather than a switch.

No certification body verification
Every expiry date in every register is typed by a person, and nothing checks it against the issuing body. There is no CSCS Smart Check, no Gas Safe Register lookup and no scheme integration. What the system does is make sure the date is visible, the document is attached and the renewal gets chased.

It does not make you compliant
No software does, and anyone who tells you otherwise is selling you something. Unibuild records, evidences and prompts. The legal duty stays exactly where it always was, with the duty holder. What changes is whether you can prove you discharged it.

Is annual PAT testing a legal requirement?+
No, and be wary of any supplier who tells you it is. The Electricity at Work Regulations 1989 require electrical systems to be maintained so as to prevent danger. They do not mandate portable appliance testing, do not set a frequency and do not require a label. The IET Code of Practice gives risk based guidance on how often to inspect and test. Unibuild is built for that reality: the next test date is a field you set, not an interval we impose.
Can we prove which instrument carried out a given test?+
Not from Unibuild as it stands, and this matters enough that we have given it a paragraph of its own above rather than hiding it here. The calibration register holds instruments with serial numbers and expiry dates, and the test registers hold results, but there is no field on a result naming the instrument that produced it. This is the single most valuable extension available in this area, because with it you could answer the awkward question, which certificates rest on an instrument that turned out to be out of calibration, in seconds rather than not at all.
Does it capture the individual fire door check items?+
As written evidence, yes, and consistently: the live system is full of entries for frame adjustment, intumescent and smoke strips, hinges, closers, drop down seals, door furniture and signage. As structured tick boxes with a pass or fail against each item, no. That is a defined piece of tailoring rather than a rewrite, and the fact that your industry's vocabulary is already consistent in the data makes it a short job.
Does it write our COSHH assessments for us?+
No, and be wary of anything that claims to. Unibuild holds the assessment, pairs it with the safety data sheet, tracks its validity and puts it in front of the people who need it. The assessment itself is a professional judgement and it stays with your competent person. What the platform adds is that the data sheet and the assessment live together against the substance, with valid from and expiry dates on both, which is exactly what an inspection asks to see.
What happens to the old version when we update a controlled document?+
It stays. An update is recorded as a new revision with its own valid from and expiry dates, rather than replacing the file. That is what document control means, and it is the part a shared drive never does. It is also the part an ISO 9001 assessor looks for first.
How does this help at a CHAS or SafeContractor assessment?+
The assessment asks for evidence that your people are competent and that the evidence is current. The A3 export answers the first question on one page, and the certificates attached to each record answer the second when the assessor samples individuals. It does not complete the assessment for you, and question sets change between schemes and between years, so we would look at your current scheme's requirements during implementation rather than claim a blanket fit.
Will our engineers actually use it?+
In the business Unibuild grew out of they already do, and the fire door numbers are the best evidence in the pack for your market specifically. Of 244 fire door records, 200 were created from the mobile app rather than the web portal, and 242 carry a signature drawn on a phone screen.
