Stop chasing
timesheets.
Start building
profits.

QR code clock-in, GPS to five metres, photo verification, CIS-aware payroll exports. The end of Friday afternoons spent chasing illegible timesheets, and Mondays spent reconciling them against three WhatsApp groups and a scanned envelope. Three seconds at the gate, on any smartphone, no app to install.

§ 01The chase

Paper timesheets.
Friday afternoons.
Hours bleeding away.

Most UK SMEs we meet have an office manager who dreads Fridays and a director who suspects the gang clocks twelve hours when they worked nine. Both are right. Here is what that costs, by the time you have ironed it all out on Sunday night.

Friday, 4:47pm
Office manager rings round site managers chasing illegible paper timesheets.
≈ 4 hrs / week
Every payroll
Workers rounding up by 15 minutes a day. Ten lads. A new van, gone.
≈ £12,000 / yr
Monday morning
"Can you clock me in mate, I'm running late." Buddy punching, in your hand.
≈ £10,000 / yr
Travel dispute
"Stuck in traffic for two hours." No way to verify. You pay it. Every week.

§ 02How it actually works

Three steps.
Thirty minutes from box
to first clock-in.

No app to download. No training to schedule. No procurement meeting. You print a QR poster for each gate, the lads scan with the camera they already use for WhatsApp, and the hours flow straight into payroll on Friday.

01

Print the
QR poster.

Add your sites in five minutes. The platform generates a numbered QR poster for each gate, in your branding. Print on A4, laminate, screw it to the site board. That is the install.

  • Site, sub-site or floor-by-floor codes
  • Weather-proof when laminated
  • Prints in colour or black on white
  • Same QR works for every worker
You spend5 min
02

The lads
scan and go.

They open the camera, point at the QR, the page opens. GPS checks they are within 100 metres of the site. The phone takes a verification photo. Office gets a WhatsApp at the same time. Three seconds, hands free in winter gloves.

  • iOS and Android, no app store
  • GPS accurate to five metres
  • Photo on first scan of the day
  • Works offline, syncs on signal
Per scan≈ 3 sec
03

Hours flow
to payroll.

Hours auto-calculate. Overtime rates apply themselves. CIS bands are read from the worker record. Site managers approve on phone before Friday lunchtime. One click exports to Sage, Xero, QuickBooks or BrightPay. Done by 3pm, not 11pm.

  • Auto overtime · 1× / 1.5× / 2×
  • Travel time tracked separately
  • CIS deductions applied per worker
  • Approval workflow with audit trail

§ 03Inside the module

Nine features.
One module. Built for the gate,
not a demo room.

The bits we got obsessive about, because the lads will pull this out of their pocket on a wet Tuesday or they will not, and the rest of the platform stops mattering.

Timesheets touch payroll, payroll touches HMRC, HMRC does not have a sense of humour. We made sensible choices in the boring places so the audit trail holds up when somebody official asks.

§ 07The questions you are asking

What every director asks
in the first ten minutes.

The full list lives at /faqs. These eight are the ones we hear in every demo.

01Do the lads need to download an app?+
No. They open the camera, point it at the QR poster, the page opens. Works on any iPhone or Android made in the last decade. No app store, no password, no excuses. The page itself is the form.
02What if there is no phone signal on site?+
Offline mode. The scan saves locally on the phone and uploads when signal returns, or when they are back on Wi-Fi at the cabin. No data is ever lost. Works in basements, steel-framed buildings, Network Rail tunnels and rural Scotland. We tested all four.
03Can the lads cheat the system?+
It is harder than turning up. The GPS must match the site within 100 metres, the photo is required, the IP is logged, and the office gets the WhatsApp at the same instant the worker sees the confirm screen. Across the firms we have onboarded so far, the recorded fraud rate is 0%.
04What about the worker who does not own a smartphone?+
Two options. Either the office admin enters their hours on their behalf — same audit trail, manual flag — or you keep a forty quid Android tablet in the site cabin and everyone scans on that. In practice, more than 99% of UK construction workers carry a smartphone in 2026.
05How long does setup take?+
Thirty minutes for the small firm, an afternoon for the larger one. Add sites, print QR posters, add workers, laminate, screw to the site board. Most customers are running their first live clock-in within the hour. The whole module goes live alongside the rest of Unibuild within 21 days.
06Does it actually integrate with Sage and BrightPay properly?+
Yes. Sage 50, Sage 200, Sage Payroll, Sage Business Cloud, BrightPay, Iris, Moneysoft, Xero and QuickBooks. Bidirectional, not a CSV export. CIS bands and RTI flow both ways. We pay for the vendor certifications so you do not have to.
07Is the data secure? Where does it live?+
AWS eu-west-2, London. Data does not leave the UK. AES-256 at rest, TLS 1.3 in transit. ICO registered, GDPR by default, Cyber Essentials Plus. The audit trail on every clock-in is signed, timestamped and unfakeable.
08Can we cancel? Do we keep our data?+
Cancel by email, any time, monthly rolling. We export the lot in CSV and PDF the same week — every clock-in, every photo, every approval, every payroll run. Your accountant gets the bundle and walks away clean.
