Project & site · Module 03

From the gate
to the gable.
One source
of truth.

Programme, day jobs, drawings register, RFIs, snags, variations, site diary. The plan and the actual on one screen, with NEC and JCT contract templates baked in. The place the PM walks through every Monday, the place the QS gets the figures from without chasing.

§ 01Where projects drift

Projects don't fail because
nobody bought a Gantt.
They drift in the gaps.

Updates get lost between the cabin and the office. The site and the office disagree on status. The drawing the foreman is using turns out to be revision two when the office is on revision four. A variation gets done, never gets signed, never gets paid. None of it shows up on a Gantt chart.

Tuesday, 14:02
Foreman finds a snag. Photo lives on a phone. WhatsApp to the QS, no record on the project.
Forgotten by Friday
Wednesday morning
Two trades on the same drawing. One on r2. One on r4. Argument at 11am.

RFI #87
Sent on email, three weeks ago. Architect on holiday. Concrete pour delayed.
Programme slip
Variation
"Just crack on, we'll sort the paperwork." Three months later, no signature, no money.
£14k unbilled
NEC4 contract
Early warning notice supposed to go in. Nobody owns it. Compensation event slips out of window.

Site diary
Site manager fills it in Saturday morning, from memory. Weather column blank. Visitors blank.

§ 02What is in the box

Nine capabilities.
One module. The plan
and the actual, joined up.

We did not start with a generic task tool and bolt construction on. Every capability below knows what a job, a drawing, a snag, a variation and an RFI mean — and which one writes to which on a wet Tuesday afternoon.

01

Programme & Gantt

Phases, milestones, dependencies. Drag the bar, the dependent bars move. Baseline the programme, compare actual to plan, see slip in colour.

PhasesMilestonesBaselineSlip viewCritical path
02

Day jobs

The actual list of work going on today, by gang, by trade, by site. Foreman ticks them off on phone. Hours flow back to the plan.

By gangBy tradeTick on phoneHours feed
03

Drawings register

Current revision, who has it, who pulled the previous one. Mark up on phone, tag a snag straight to a coordinate. No more r2 vs r4 arguments.

Revision-safeMark-upTag-to-snagPDF / DWG
04

RFIs

Raise on phone, route to the right consultant, status on dashboard, time-out in days, response stored against the drawing. Weekly RFI report writes itself.

RoutedTime-outBy drawingWeekly digest
05

Site diary

Weather, gangs on site, deliveries, visitors, plant on hire, incidents, hold-ups. Filled in the cabin five minutes before lock-up. Auto-fills what the system already knows.

06

Snagging

Photo, tagged to the drawing, owner set, due date, sub-trade, status. Snag list per zone, per trade, per subbie. The handover snag list writes itself by week 39.

Variations

Quote it, get it signed, attach the email PDF. Project P&L moves the same minute. CIS and VAT auto-applied. Nothing slips between "do it" and "bill it" again.

NEC & JCT

NEC3, NEC4, JCT contract templates baked in — early warning notices, compensation events, payment notices, pay-less notices. The clauses, with the cadence.

Document control

Drawings, schedules, specs, technical submittals, O&M pack. Numbered, revision-controlled, distribution log. Handover bundle is one click in week 39, not three weeks of panic.

§ 03NEC and JCT

The clauses.
With the cadence.

We have stood in too many post-mortems where a perfectly good NEC4 contract lost the firm tens of thousands because a notice missed the window. The platform watches the clock and tells you when each notice is due, with the form already filled in.

// Form 01

NEC4

  • Early warning notices · auto-cadence
  • Compensation events · 8-week clock
  • Programme submission · monthly
  • Pay notice · 7 days from assessment
  • Pay-less notice · 7 days before final
  • Defects certificate · standard form
// Form 02

NEC3

  • Early warning · risk register
  • Compensation events · 7-week clock
  • Risk reduction meetings
  • Activity schedule updates
  • Programme · clause 31 / 32
  • Defects · clause 43
// Form 03

JCT

  • Variations · architect's instructions
  • Loss & expense claims
  • Interim valuations · monthly
  • Pay notice · 5 days
  • Pay-less · 5 days before final
  • Practical completion certificate
// Form 04

Domestic / day work

  • Day work sheets · signed on phone
  • Variation orders · client-signed PDF

§ 04A Tuesday on a live job

One Tuesday.
One module.

A real Tuesday on a 32-person firm running three live sites. Every event below is one tap, one record, one piece of evidence the QS, the PM and the client all see.

06:30
Pre-start

PM opens the site against today's programme.

Day jobs, gangs, deliveries, RAMS by trade, drawings by zone. The cabin TV shows the same. Foremen read the same screen.

Programme · Day jobs
07:48
Site walk

Foreman raises a snag against the south gable.

Photo, tag on drawing A-12 r3, owner set to the M&E subbie, due Friday. The subbie sees it on their portal before the foreman gets back to the cabin.

Snagging · Subbie portal
09:14
RFI

RFI #87 raised on the south gable detail.

Routed to the structural engineer, time-out 5 days, attached to drawing A-12. PM and QS both see it. Architect's reply lands by 16:30, automatically filed.

RFIs · Drawings
10:30
NEC4

Early warning notice raised — late door supplier.

Pre-filled NEC4 form, contract clock starts, project register updated. Risk reduction meeting scheduled for Thursday automatically.

NEC4 · EWN
13:00
Variation

Client signs variation #12 on email.

£4,800, signed PDF stored against the project. Quote updated. Forecast cash and forecast margin both move. The PM sees it on their dashboard before lunch.

Variations · Insight
15:42
Drawing

Architect issues drawing A-12 revision 4.

System supersedes r3. Open snags re-bind to r4 coordinates. Operatives still on r3 get a phone notification. Distribution log updated.

Drawings · Document control
17:10
Diary

Site manager closes today's diary in 90 seconds.

Weather pre-filled, gangs counted, deliveries logged, hold-ups summarised, RFI count pulled. One tap to sign and file. Tomorrow opens itself at 06:30.

§ 05The questions every PM asks

The questions every PM
asks in the demo.

The full list lives at /faqs. These eight are the ones we hear in every project conversation.

01Is it actually a Gantt? Or a glorified to-do list?+
A real Gantt with phases, milestones, dependencies, baseline-vs-actual and critical path. Drag a bar, the dependent bars move. Baseline a version, compare actual against it, see slip in colour. Imports from Asta, Microsoft Project, P6 and CSV. Exports to PDF and PNG for the wall.
02Will the PMs and foremen actually use it?+
Adoption is the product. Foreman raises a snag in 30 seconds with photo. Day jobs are ticked off in three taps. RFIs land where they need to without a "did you see my email". The cabin TV reads the same screen as the PM. We track adoption per site and per role so you see the rollout, not guess at it.
03Does it talk to Asta and Microsoft Project?+
Yes — both ways. We import an .mpp or Asta export and stand the programme up against your trades and milestones. Once live, you can keep editing in Unibuild or push back to Asta. P6 is import-only for now (XER), with full P6 export shipping in 2026 Q3.
04How do you handle drawing revisions safely?+
Every drawing carries its revision and a distribution log. When a new revision is issued, the system supersedes the previous one on every device that downloaded it, sends a phone notification to operatives still on the old revision, and re-binds open snags to the new coordinates where possible. The previous revisions stay archived for the audit trail.
05Does it support NEC4 properly, or just generically?+
Properly. NEC3 and NEC4 templates ship with early warning notices, compensation events, programme submissions, pay notices and pay-less notices — all with the contract clocks running so the QS gets reminded before the window closes. Forms come pre-filled from the project record. The clause references are correct.
06Do subbies need an account? Will they actually log in?+
Subbies get a free portal as part of the platform. Snags routed to them land in the portal and on email at the same time. Variations, AfPs, certificates and CIS records all flow through it. They do not pay, and most onboard themselves in under five minutes — adoption is high because it makes their life easier, not harder.
07How does the handover O&M pack work?+
It builds itself as the job runs. Drawings as-built, technical submittals, test certificates, plant manuals, warranties, snag close-outs. At practical completion you click once and get a structured PDF / ZIP bundle in the format the client asked for. Most firms cut handover from three weeks of panic to an afternoon.
08Is the data secure and UK hosted?+
AWS eu-west-2, London. Drawings, photos, contracts and audit log all live in the UK. AES-256 at rest, TLS 1.3 in transit. ICO registered, GDPR by default, Cyber Essentials Plus. Export the lot in CSV and PDF, one click, any time.
§ 06 · No card. No lock-in.
