Free site diary template

A site diary is the site manager’s record of each day: who was on site, the weather, what arrived and what was done. It also records the instructions received and what held the work up. This one runs over two pages a day, as an editable PDF and a Word document, free to use and reuse.

Instructions and delays

Each instruction with who gave it and how, each delay with its cause and length, health and safety notes, photographs and the signature.

Why the diary matters to the contract

Checked against the source

No statutory form

There is no statutory site diary. It is a contemporaneous record, written on the day by the person in charge, which is what gives it weight.

Usual site practice

Extensions of time

A claim for more time rests on showing what was delayed, when, why and for how long. The diary is where that is recorded as it happens.

Your contract’s extension of time or compensation event clauses

Instructions

A verbal instruction recorded in the diary and confirmed in writing the same day is the start of a variation that gets paid.

How to use it

Write it before leaving site

A diary filled in a week later is a reconstruction. One written the same day is evidence.

Record the dull days too

A complete diary shows nothing happened as clearly as it shows a delay. Gaps are what a dispute looks at.

Let the day write itself

In Unibuild the clock-ins, deliveries, permits and photographs are already recorded against the job, and the site diary is drafted from the day’s own records. See project management.

Is this site diary template free?
Yes. It is free to download, use and reuse, including on paid work and for clients, with no sign-up and no email address. Download the editable PDF or the Word version.
What should go in a site diary?
The date and weather, the labour on site by company and trade, plant and its status, deliveries, visitors and inspections, and the work done. Then instructions received, delays and their causes, health and safety notes and photographs, signed by the site manager.
Is a site diary a legal requirement?
There is no statutory site diary. Contracts often require records of progress and delays, and the diary is the usual way to keep them. It carries most weight when written on the day.
Who keeps the site diary?
The site manager or the person in charge of the site that day. On larger jobs each contractor keeps their own as well.
How does a site diary help with an extension of time?
A claim for more time has to show what was delayed, why and for how long. A diary entry made on the day, naming the cause and the hours lost, is the strongest record of it.
How does Unibuild handle the site diary?
The day’s clock-ins, deliveries, permits, inspections and photographs are recorded against the job as they happen. The site diary is drafted from those records for the site manager to check and sign. See project management.
