AI document review

A second reader for every RAMS,
estimate and tender.

Unibuild’s AI document review reads RAMS, method statements, risk assessments, estimates, quotations and tender submissions before they are issued or accepted. It runs inside the same system where each document is written, approved, sent and signed.

A document being read and marked up at a desk before it is approved and sent
In plain terms

AI document review is a second reader for the documents a business sends out and receives. In Unibuild, the AI reads a RAMS, an estimate, a quotation or a tender submission before anybody approves it. It flags what needs attention: gaps, vague wording and details that do not agree from one part to the next.

Unibuild is bespoke business software for UK trades and specialist contractors: a platform in daily production since 2016, shaped to the way each firm already works. The review is part of that platform, so the fix, the approval and the signature happen on the same record.

What it reviews

What Unibuild’s AI document review reads.

Four families of document, one review, and one record afterwards. Each has its own page with the detail.

RAMS, method statements
and risk assessments

Your own RAMS is reviewed before it is released to site, and a subcontractor’s before you accept it. Vague controls and gaps are flagged while there is still time to fix them.

  • Before release or acceptance
  • Vague controls flagged
  • Subcontractor RAMS on arrival
  • Then signed on the phone

Estimates
and quotations

An estimate or quotation is read back before the price goes to the client. Gaps, figures that do not agree and loose wording are caught at the desk rather than on site.

  • Read back before it is issued
  • Gaps and loose wording flagged
  • Built from your own rates
  • Approved by a named person

Tender
submissions

A tender response is reviewed before it is submitted, while the deadline still leaves room to act. Gaps, and answers that do not match the rest of the tender, are flagged.

  • Reviewed before submission
  • Gaps flagged in good time
  • Answers read against the tender
  • Revisions kept on the record

The rest of
the paperwork

The same review runs on other document types a trade business issues and receives. If a document your firm relies on is not reviewed yet, it is added for you.

  • Your own document types
  • The same approval route
  • The same record afterwards
  • Added on request

Questions

Asked before
the first review.

Which documents does Unibuild’s AI review?
RAMS, method statements and risk assessments, estimates, quotations and tender submissions, and other document types besides. Each is read by the AI before a named person approves it, and gaps, vague wording and details that do not agree are flagged. Each family has its own page: AI RAMS review, AI estimate review and AI tender review.
Who has the final say, the AI or our own people?
Your people. A named person reads the flags, decides what to change and approves the document. Nothing is issued, sent or signed automatically. For a RAMS, your competent person signs it off, and the duty to assess the risk stays with the employer. The review gives them a second reader on every document, every time.
What record is kept of each review and approval?
The document, its versions and the name and date on each approval stay together on one record. For a RAMS, every signature joins that record with its date, time and device. Unibuild keeps every record for seven years, so you can show what was approved, by whom and when.
Can it review a subcontractor’s RAMS?
Yes. A subcontractor’s RAMS submitted into Unibuild is reviewed when it arrives, before you approve it or return it with comments. Both sides see where it stands, and the decision carries a name and a date. Once approved, their operatives sign it the same way your own people do.
What happens to a document after the review?
The author fixes what was flagged and submits it. A named person approves it or returns it with comments, and the approved version is the one that is issued, sent or signed. An edited RAMS is signed again, and every earlier version stays readable with its own signatures. When conditions on site change, the reassessment is recorded as a dynamic risk assessment against the same job.
Do we need a separate checking tool?
No. The review is part of Unibuild, behind the same login and working on the same records. Nobody exports a document to a second product or keeps two copies in step. The flags, the fixes, the approval and the signatures stay with the document they belong to.
Does it work with our own templates and rates?
Yes. Your templates, rates and document types are set up during implementation. Estimates and quotations are built from your own rates, and the review reads them where they are written. A document type your business relies on is added to the review on request.
How do operatives read a RAMS once it is approved?
On their phone, in your firm’s own app. Your staff app is published on the App Store and Google Play under your company’s own name and icon. Each operative reads the approved RAMS in their preferred language and signs it there. Agency and temporary workers can sign through a link in any browser instead. The detail is on the RAMS app page.
Does it suit trades outside construction?
Yes. Electrical, mechanical, heating, roofing, scaffolding, facilities maintenance and plant hire firms all issue RAMS, estimates and quotations, and many of them tender for work. Construction is one of more than thirty trades Unibuild serves, alongside those and many more.
How is AI document review charged?
Everyday AI is in the monthly fee. Heavier AI work is paid as used, at the AI provider’s own rate, with nothing added. The cost of AI is bespoke to each firm, and the demo sets it out against your own volumes. How AI is charged.
How quickly can a firm start using it?
Most firms go live on Unibuild in about two weeks, in phases. Setup, training and data migration are all included in the fee, and the programme is agreed with you after scoping.
How do we see it working on our own documents?
Book a 30-minute demo and bring a real RAMS, estimate or tender response. We load it and show the review, the fix and the approval on it, with you driving. You leave knowing what the review finds in your own paperwork.
