What is in the training matrix template

3 pages

The matrix

One row per person and a column per course: CSCS or CPCS card, site induction, first aid at work, asbestos awareness, manual handling, working at height, abrasive wheels, IPAF or PASMA, fire marshal, and columns for your own. In Excel, expiry dates colour themselves.

The training record

One page per person: the cards held with their numbers and expiry, every course with its provider, date, expiry and certificate reference, and the training needs identified with the date each is booked.

Training needs by role

A grid of roles against courses. Tick what each role must hold, and a new starter in that role is assigned the ticked courses on day one.

The courses sheet

In Excel, the courses the matrix tracks with how long each is valid for where a scheme or HSE sets it: five years for most CSCS cards, three for first aid at work.

What the law says about training

Checked against the source

The employer’s duty

Every employer provides adequate health and safety training on recruitment, and on being exposed to new or increased risks, repeated periodically where appropriate, during working hours.

Management of Health and Safety at Work Regulations 1999, regulation 13

On a construction site

A contractor must not employ or appoint a person to work on a construction site unless that person has, or is in the process of obtaining, the necessary skills, knowledge, training and experience.

CDM 2015, regulation 15(7)

Appointing a contractor

A designer or contractor must have the skills, knowledge, experience and, for an organisation, the organisational capability for the work. Whoever appoints them takes reasonable steps to satisfy themselves of it.

CDM 2015, regulation 8

First aid

The first aid at work certificate is valid for three years, after which the person requalifies.

HSE L74, First aid at work

Cards

Most CSCS cards are valid for five years, and the CITB health, safety and environment test must have been passed in the two years before applying.

CSCS

How to use it

Fill the matrix from the certificates

Write the expiry date in each box, from the certificate rather than from memory. In Excel the box turns amber sixty days before the date and red once it has passed.

Set what each role needs

Tick the courses a role must hold on the training needs grid. The gaps for a person show against their role, which is what an auditor or a client’s pre-qualification asks for.

Book before the amber turns red

Review the matrix monthly and book the course while the ticket is still in date. In Unibuild the training matrix does this itself: every ticket is amber before it expires, and the course can be taken in the staff app.

Is this training matrix template free?
Yes. It is free to download, use and reuse, including on paid work and for clients, with no sign-up and no email address. The Excel workbook, the editable PDF and the Word version are all free.
What should a training matrix include?
Every person, every card and course the work needs, and the date each one expires or was last done. The useful additions are the role each person holds, so gaps show against what the role requires, and the certificate reference, so the evidence can be found when it is asked for.
Is a training matrix a legal requirement?
The matrix itself is not named in law. The training is: regulation 13 of the Management of Health and Safety at Work Regulations 1999 requires adequate training on recruitment and on new risks, repeated periodically. A matrix is the usual way to show that it happened and when it is due again.
How long is a CSCS card valid?
Most CSCS cards are valid for five years. To renew, the holder needs the CITB health, safety and environment test passed within the two years before applying, and the qualification the card requires. Check the scheme’s own rules for the card type.
How often should asbestos awareness training be refreshed?
HSE expects asbestos awareness to be refreshed regularly, and many firms do it every year, so the matrix carries a yearly column. The law requires adequate training for anyone liable to be exposed; it does not set a fixed interval. Change the column to match your own policy.
Does the Excel version highlight expired training?
Yes. On the Matrix sheet and the Training record sheet a date within sixty days turns amber and a date that has passed turns red, and each person’s row counts how many courses are expired or due. The workbook works in Excel and in the free spreadsheet programs that open Excel files.
Can I add my own courses?
Yes. There are blank columns on the matrix and blank rows on the courses sheet, and the Word version is a plain table you can change. Keep the column headings on the Matrix sheet in step with the courses sheet.
How does Unibuild keep a training matrix?
Without the spreadsheet. CSCS cards are checked against the register rather than typed in, e-learning is taken in the staff app and the certificate lands on the training matrix itself, required courses are set per role so new starters are assigned them, and every ticket turns amber before it expires.
