Nothing here is legal advice. Unibuild records, evidences and prompts. The duty always stays with the duty holder, and saying so explicitly builds more trust with a serious buyer than any compliance claim would.

Gas Safety (Installation and Use) Regulations 1998
Regulation 36 requires an annual check on each relevant appliance and flue, a record kept for at least two years, and a copy given to the tenant within 28 days. The record is a finished certificate the moment it is saved, carrying the appliance by appliance safe to use status, the defects, the engineer's printed name and registration number, the issue date and the next check due date, with both signatures. Unibuild does not check the Gas Safe Register and does not email the record automatically.
Retained UK F-Gas Regulation
Operators of relevant equipment must have leak checks at prescribed intervals and keep records covering the quantity and type of gas, quantities added or recovered, who carried out the checks and the results. The platform holds all of that against the asset and prints a REFCOM presented log book. It does not derive your leak check frequency band from the carbon dioxide equivalent, and it does not chase an overdue check.
SFG20
FM contracts are routinely written to require maintenance in accordance with named SFG20 schedules and evidence that the specified tasks were carried out. Unibuild holds your own licensed schedule documents against each asset, with the PPM pattern and the completed service history. It is a document and reference store, not a live feed, and task level completion against SFG20 task references is not recorded.
ACOP L8 and HSG274
The duty holder must identify and assess risk, appoint a competent person, prepare a written scheme, implement and monitor it, and keep records of monitoring for at least five years. Unibuild carries the monitoring programme the scheme produces, dated, assigned and chased, with a thirty day forward warning. It does not author the risk assessment or the written scheme, and today the registers hold the due dates rather than the temperature readings themselves.
BS 8558 and BS EN 806-4
Disinfection is expected after a new installation, an extension, a repair where contamination may have occurred, or where a system has stood unused. The chlorination certificate names the standard worked to, records the contact time, and holds the before and after readings with the bacterial sample taken after flushing.
Electricity at Work Regulations 1989, regulation 4(2)
All systems shall be maintained, so far as is reasonably practicable, so as to prevent danger. The regulation sets an outcome, not a method: it says nothing about portable appliance testing, intervals or labels. The register is the evidence that a maintenance regime exists and is being followed, and the interval is yours to set from your own risk assessment.

Measuring equipment must be calibrated at specified intervals, identified so its status can be determined, and safeguarded. Critically, where equipment is found unfit, the organisation must determine whether previous results were affected and take action. Unibuild identifies the instrument and holds its status and its certificate. It cannot today tell you which results a given instrument produced, which is the honest gap set out below.
PUWER 1998
Work equipment must be suitable, maintained in efficient working order and in good repair, and inspected where safety depends on installation or deterioration, with the inspection recorded. Every item is an individual record with a dated service history and, for portable electrical equipment, its full test history reachable by scanning the label on the item.

This is the most useful honest thing on the page, and it is also the strongest argument for the tailored half of what we do.

The scenario
An instrument's calibration lapses in November. Nobody notices until July. Somewhere between those dates sit an unknown number of certificates whose results now rest on measurements that cannot be shown to have been accurate.
Why it matters more than it sounds
ISO 9001 does not merely permit you to look into it. It obliges the organisation to determine whether previous results were affected and to act. Without a link between instrument and result, determining means going through job files by hand, and in practice it means retesting more work than was actually affected, because the boundaries cannot be drawn.
Where Unibuild stands today
A test record holds the readings, the result and who entered it. It does not name the test instrument. The calibration register holds instruments with serial numbers and expiry dates. The two are not linked, in either direction. Neither is a spreadsheet, which is the fair comparison, and we are not going to hide behind that.
How close it is to being solved
One field. An instrument selector on the test record, populated from the calibration register and validated against that instrument's calibration expiry as at the date of the test, produces a chain from appliance to result to instrument to certificate. The register exists, the instruments already carry serial numbers and expiry dates, and the status calculation already works. It is the clearest illustration on this website of what proven core, tailored to you actually means.
And the step after it
An out of calibration instrument is flagged, never blocked. Nothing prevents its use, because nothing currently knows which job it was taken to. Blocking is only meaningful once an instrument can be selected on a piece of work, so the sequence is link first, then gate. The platform already does exactly this pattern elsewhere: a subcontractor whose insurance lapses is automatically removed from the forms that would let you instruct them.

Why publish this at all

Because the negatives are what make the positives believable to somebody who knows the subject. A compliance manager reading a page that claims a fire door module runs a regulation 10 check regime, or that a system verifies Gas Safe registration, learns something about the supplier rather than about the software. Several of these are also genuine search terms in their own right, because the people typing them are trying to find out the same thing you are.

Emergency lighting is a test record, not a BS 5266 log book
The checklist records the date, the operative, the devices checked, the type of test, whether all fittings worked and the load test result, signed by two parties and issued as a PDF. It records one test event rather than a fitting by fitting schedule, the test type is free text rather than a controlled monthly or annual selection, and there is no reminder for the next test due.

Water registers hold dates, not readings
The water testing and filter change registers hold the due date, the assigned person and the chase history. They do not hold the sentinel outlet temperature or the sample result. Capturing readings against a register row on the app is a well defined extension and one we would expect to discuss if water hygiene monitoring is central to your contracts. What exists already does the harder half, which is making sure the visit happens.

Gas records are not emailed automatically
The certificate is a finished document the moment it is saved, so it can be handed over on the day, and the record captures who received it with their printed name and signature. The platform does not email it to the tenant or the landlord on your behalf and it does not track the 28 day period. Both are contained additions.

No unsafe situation classification field
The gas record captures the defect, the rectification work, whether a warning notice was issued, whether a warning tag was fixed and whether each appliance is safe to use. The Immediately Dangerous, At Risk and Not to Current Standards classification can be written into the defect details but is not a structured field you can report on. For a gas heavy business this is the single most valuable extension to that module.

Does it make us compliant?+
No. No software does, and anyone who tells you otherwise is selling you something. Unibuild records, evidences and prompts. It holds the registers, watches the expiry dates, produces the certificates and keeps an attributable record of who did what and when. What it removes is the scramble to assemble evidence after the fact, and the risk of finding out too late that something lapsed. The legal duty stays exactly where it always was, with the duty holder. What changes is whether you can prove you discharged it.
Is this a live integration with SFG20?+
No, and we would rather say so than be caught claiming it. Unibuild holds your own SFG20 schedule documents against each individual asset, with notes, so the schedule governing a unit is one click from the unit, visible to the engineer on site and to your client in their portal. It does not pull task lists or revisions from BESA's service, and task level completion against SFG20 task references is not recorded. If you hold a subscription and want a live integration, that is bespoke development built on a register that already exists.
Can we produce electrical certificates in it?+
Not scheme certificates. Unibuild does not produce an EIC, an EICR or a Minor Works Certificate, and we would not want to imply otherwise to an electrical contractor. What it does is everything around the certificate: the job, the labour, the client and site record, the asset, the safe isolation permit with its switching schedule, the test instrument and its calibration status, the document store and the audit trail. Most firms produce scheme certificates in scheme software and keep everything else in Unibuild.
What exactly does the F-Gas side cover?+
Per asset: the refrigerant type from a built in list with its GWP, the charge weight, and the carbon dioxide equivalent calculated for you, along with the five tonne reference charge for that refrigerant. Then a dated logbook of work carried out, engineer, certificate number, gas added and bottle serial, and dated leak check records with the engineer, the ACRIB card number, direct or indirect test, result and next test date. It prints as a record log book in REFCOM presentation. What it does not do is work out your leak check frequency band or chase an overdue check, and we would rather you knew that before you buy.
Is annual PAT testing a legal requirement?+
No, and be wary of any supplier who tells you it is. The Electricity at Work Regulations 1989 require electrical systems to be maintained so as to prevent danger. They do not mandate portable appliance testing, do not set a frequency and do not require a label. The IET Code of Practice gives risk based guidance on frequency by equipment type, environment and use. Unibuild is built for that reality: the next test date is a field you set, not an interval we impose.
Does Unibuild check our engineers' registrations?+
No. Every expiry date in every register is typed by a person and nothing checks it against the issuing body. There is no Gas Safe Register lookup, no CSCS card verification and no scheme integration. What the system does is make sure the date is visible, the document is attached and the renewal gets chased. Connecting the training matrix to certificate issue, so an out of date registration warns the office, is a short piece of work on data that is already there.
Which of these registers would you actually demonstrate?+
Whichever ones matter to you, in the deployment where they carry real records. Gas, fire doors, PAT, maintained assets and SFG20 are proven in the construction deployment. Chlorination, water testing, emergency lighting and the electrical and mechanical sign offs are proven in the site services one. Showing you an empty register and calling it a feature helps nobody, so we will tell you which system we are opening and why.
