What is in the staff holiday planner template

6 pages

The leave record, one per person

Entitlement in days, whether it includes bank holidays, days carried in, days bought or sold, and every request with the dates, the working days, who approved it and the balance after it.

The team planner

In Excel, one row per person for every day of 2026 and 2027, with weekends grey and the bank holidays for your nation shaded. In the PDF, a quarter per page with a column per week.

Days taken and remaining

The Excel workbook counts the days marked A on the planner for each person and shows what is left, so nobody adds up a year of leave by hand in December.

The bank holidays

The 2026 and 2027 dates for England and Wales, Scotland and Northern Ireland, from GOV.UK, with the substitute days where a holiday falls at the weekend.

What the law says about holiday

Checked against the source

The entitlement

Almost all workers are entitled to 5.6 weeks of paid holiday a year. For a five-day week that is 28 days, and bank holidays can be counted as part of it. Part-time workers get the same entitlement pro rata.

GOV.UK, Holiday entitlement

Notice

Unless the contract says otherwise, a worker gives notice of at least twice the length of the leave they want to take. An employer can refuse, with notice at least as long as the leave asked for.

Working Time Regulations 1998, regulation 15

Carrying leave over

The four weeks under regulation 13 are taken in the leave year, unless sickness or family leave prevented it. The extra 1.6 weeks under regulation 13A can be carried into the next leave year by agreement.

Working Time Regulations 1998, regulations 13 and 13A

Irregular hours

For leave years from 1 April 2024, irregular hours and part-year workers accrue leave at 12.07% of the hours worked in each pay period.

Working Time Regulations 1998, regulation 15B

Bank holidays

Whether a bank holiday is paid leave, extra leave or a normal working day depends on the contract. The law sets the 5.6 weeks; it does not say which days they fall on.

How to use it

Set the leave year and the nation

On the How to use sheet, choose England and Wales, Scotland or Northern Ireland, and the planners shade that nation’s bank holidays. Enter each person’s entitlement on the Staff sheet.

Mark leave on the planner

Type A on the days off. S for sick, U for unpaid, T for time off in lieu and B for a bank holiday worked are there too. Days taken and remaining update on the Staff sheet.

Keep the record with the request

The PDF record page holds each request with its approval, so a dispute in October can be settled from the sheet. In Unibuild the request is made on the phone and the clash with the labour run shows before it is approved.

Is this staff holiday planner free?
Yes. It is free to download, use and reuse, including on paid work and for clients, with no sign-up and no email address. The Excel workbook, the editable PDF and the Word version are all free.
How many days of holiday do staff get in the UK?
Almost all workers are entitled to 5.6 weeks of paid holiday a year. For someone working five days a week that is 28 days, and the employer can count bank holidays as part of it. Part-time workers get the same 5.6 weeks pro rata, so three days a week gives 16.8 days. GOV.UK publishes a calculator for other patterns.
Does the planner work for a leave year that starts in April?
Yes. The record page carries the leave year from and to, and the planner sheets run day by day across 2026 and 2027, so a year from April to March is marked across the two sheets. Set the start date on the How to use sheet.
Which bank holidays does it include?
The 2026 and 2027 bank holidays for England and Wales, Scotland and Northern Ireland, taken from GOV.UK on 18 October 2026, including the substitute days. Choose the nation on the How to use sheet and the planners shade those dates.
Can staff carry holiday over to next year?
Part of it. The four weeks under regulation 13 of the Working Time Regulations must be taken in the leave year, unless sickness or family leave prevented it. The extra 1.6 weeks under regulation 13A can be carried into the next leave year if the contract or a written agreement allows it.
How much notice should someone give for holiday?
Unless the contract says otherwise, at least twice the length of the leave requested: two weeks’ notice for a week off. The employer can refuse with notice at least as long as the leave asked for. Many firms set their own, clearer rule in the contract, and the planner has a box for it.
Is there a Word version?
Yes. Download the Word document to add your own logo and change the columns. The editable PDF can be typed into in any PDF reader, and the Excel workbook does the counting.
How does Unibuild handle holiday requests?
In the staff app. The person asks for the dates on the phone, the holiday planner shows the approver who else is off and whether the person is on a labour run that week, and the balance is kept per person. The clash shows before the approval, not after.
